SALES & MARKETING ADMINISTRATOR Position Title:Sales & Marketing Administrator Department: Sales & Marketing Job Summary: A dynamic and experienced Sales & Marketing Administrator is sought to support a high-volume restaurant and events operation. This key role bridges the gap between clients, the sales department, and operations to ensure flawless execution and exceptional guest experiences. The position requires strong organizational skills, the ability to multitask, and a proactive, solutions-oriented mindset. Key Responsibilities: Event & Sales Support Provide administrative and event planning support to the Sales & Events team. Manage and maintain detailed client files and marketing calendars. Complete and process Banquet Event Orders (BEOs) with 90-95% accuracy, ideally on the same day. Assist in preparing and modifying event floorplans. Ensure accurate and consistent usage of platforms including Tripleseat, OpenTable, Microsoft Office, Chatbot, wedding/event storefronts, and digital planning tools. Support sales outreach and participate in networking opportunities as needed. Administrative & Financial Coordination Answer phones, log leads, and assist with order detailing and contract preparation. Prepare BEO meeting packets and ensure accuracy of materials. Handle payment processing, track event payments, reconcile receipts, and maintain financial logs. Compile and distribute weekly payment and event status reports. Maintain up-to-date databases and communication records. Client & Team Communication Maintain professional and timely communication with internal teams and external clients. Provide consistent follow-up on proposals and inquiries, ensuring at least three touchpoints. Collaborate with front-of-house and culinary teams to communicate event details. Welcome and engage with prospective clients, representing the brand with warmth and professionalism. Log all incoming leads from multiple sources into Tripleseat or CRM systems. Communicate specific property needs or issues to the Sales Director and/or General Manager. Additional Expectations Take initiative in learning systems and addressing client inquiries. Be flexible and responsive to evolving responsibilities. Maintain a professional, friendly, and approachable demeanor. Demonstrate keen attention to detail and the ability to work in a fast-paced environment. Reporting Structure: This role reports to the Director of Sales & Marketing and the General Manager, and works closely with operations and F&B management. Strong communication and collaborative skills are essential for success. Qualifications: Experience & Skills: 1+ year of experience in hospitality, event coordination, or administrative support Familiarity with Microsoft Office Suite; knowledge of Tripleseat is a plus Strong organizational and communication skills A genuine interest in sales, marketing, and event planning Ability to work flexible hours including evenings, weekends, and holidays as required Additional Skills: Creative thinker and adaptable to change Self-motivated and able to work independently or as part of a team Detail-oriented with the ability to manage multiple tasks from start to finish Excellent customer service and interpersonal skills Fluent in written and spoken English Ability to manage budgets, percentages, and basic financial calculations Physical Requirements: Must be able to stand, walk, talk, and hear regularly Frequent use of hands and standard office equipment Must be able to lift up to 25 lbs regularly and up to 50 lbs occasionally Note: Management reserves the right to amend or change this job description based on business needs.
